The Administrative Assistant performs a variety of administrative tasks, including front office reception duties, and is responsible for providing support to their assigned teams, industry groups and location. Additionally, Administrative Assistants may provide support to the broader location population, as well as members of the operations and administrative teams.

Responsibilities:

  • Serve as first point of contact for visitors and callers, including having information readily available regarding office facilities and services
  • Schedule and monitor meeting rooms and assist with audiovisual equipment as needed; assist with internal meeting set-up and event coordination
  • Manage and maintain inventory of kitchen and office supplies
  • Support time and expense entry
  • Assist with engagement management activities as needed, such as billings and new client acceptance
  • Aids in the management and logistics of calendars and travel arrangements
  • Create, edit and format client deliverables (e.g. financial statements, annual reports, proposals, presentations, etc.) in an accurate and timely manner
  • Prepare and format initial drafts of documents, including Word, Excel and PowerPoint
  • Review and proofread documents for accuracy
  • Assist with the coordination of internal and external clients including: screening phone calls, facilitating client communications to the appropriate client service staff, and following up with clients, when appropriate
  • Other special projects as assigned
 

Qualifications:

  • High School Diploma/GED required
  • Minimum of 1 year of related experience required, preferably in an administrative role; experience in a professional services environment preferred
  • Working knowledge of Microsoft Office Suite
  • Excellent written and verbal communication skills
  • Ability to prioritize multiple varying tasks to meet deadlines
  • Ability to work independently and with a team
  • Ability to travel as needed, approximately 5%
  • May require some overtime hours
