 Senior Administrative Assistant

FULL-TIME

 

Mission Statement

Starkey nurtures development and promotes independence of people with intellectual.

 

Summary of Position:

Responsible for communication, scheduling meetings, and the distribution of pertinent materials between the CEO, Starkey, Inc. Board of Directors, Leadership Team, and the Foundation.  Responsibilities also include the transcription and maintenance of Leadership Team, Starkey, Inc. Board of Directors, Starkey Foundation, Starkey Ambassadors, Starkey, Inc. Advisory Council minutes, yearly calendar of events, the coordination of special Starkey, Inc. events as assigned.  All duties listed below are essential functions of the position.

 

 General Responsibilities:

 CEO:

  1. Assist and support CEO and coordinate meetings,
  2. Maintain and update organization policies, as needed.
  3. Maintain daily schedule calendar, handle telephone calls, and prepare yearly calendar of events for Starkey, Inc.

 Board of Directors:

  1. Assist and support Starkey, Inc. Board of Directors, prepare yearly calendar of events, coordinate special meetings and events, attend Board meetings.
  2. Prepare and distribute Board packets/information.
  3. Maintain current fact sheet, roster and rotation schedule of Board members.
  4. Prepare orientation materials for newly elected Board members.
  5. Coordinate Starkey, Inc. annual meeting.

 Starkey Foundation:

  1. Assist and support Starkey Foundation, prepare yearly calendar of events, coordinate meetings, and attend Board meetings in Executive Assistant capacity.
  2. Prepare agenda for bi-monthly and other meetings as needed.

 Finance Department:

  1. Processing daily cash reports
  2. Process deposits
  3. Complete community living and persons served spending report and reconciliations
  4. Complete invoice/billing audits and reconciliations
  5. Assist with persons served payroll processing
  6. Assist with data entry and special projects, as needed

 Communication:

  1. Develop positive supportive relationships with coworkers.
  2. Communicate using person first language.
  3. Use and encourage communication with persons served that is positive and respectful, and promotes independence.
  4. Demonstrate the energy of caring by showing initiative, being resourceful, and being respectful and supportive of others.
  5. Promote the independence of persons served.

 Data management:

  1. Responsible for management of data, up to and including identifying data needs/upgrades and monitoring functionality and data entry.

 Special and ongoing assignments:

  1. Transcribe and maintain minutes, Starkey Board of Directors, Starkey Foundation and Starkey Advisory Council.
  2. Input into donor database, generate thank you letters, prepare and mail year-end donor statements in accordance with Director of Development.
  3. Provide administrative assistance, as needed, to Finance, Operations, Communications and HR.

Education:

Pertinent post-secondary coursework certification or degree. 

Experience: 

Minimum of two (2) years pertinent experience in professional administrative or project coordination role.  Must have good organizational, attention to detail and written/oral communication skills; proficient use of computer related programs (including proficiency in Word and Excel) and office equipment; experience with Bloomerang preferred; excellent inter-personal skills required.  Previous work experience for an organization serving individuals with intellectual disabilities helpful.

Requirement:

Valid Kansas driver's license or from the state they reside
